Getting started

Getting startedConnect your GoCardless account3 min

GiveGiftAid uses a charity’s own GoCardless account. The hosted GoCardless flow handles connection and bank setup; GiveGiftAid never asks charities to enter their GoCardless access tokens or supporters’ bank details.

  1. Choose Connect your charity on givegiftaid.uk for a live account, or on givegiftaid.uk/sandbox to test with a GoCardless Sandbox account. See Live and Sandbox workspaces.
  2. Complete the GoCardless-hosted steps and return to your GiveGiftAid dashboard.
  3. Check the GoCardless account panel. It must show Verified · Payments enabled before donors can start new collections.
  4. Stay in Sandbox while trying example donations and payments. They do not move real money.
Account still under review? Complete the required steps in GoCardless. GiveGiftAid blocks new donation attempts until the account is verified.

Getting startedUnderstand the dashboard and review queue2 min
Dashboard example: the primary actions, GoCardless status and review queue are highlighted.
Illustrative example — not a live screenshot. Dashboard example: the primary actions, GoCardless status and review queue are highlighted. Example names and amounts are fictional.

The dashboard is the starting point for donation-page editing, campaigns, donors, Creative Studio and Gift Aid.

  1. Use the left navigation on desktop or the navigation at the top on mobile to choose an area.
  2. Use Open donation page and Copy donation link for your public fundraising URL.
  3. Review the Review queue when it has a non-zero count. It identifies tasks, not a score showing how many errors you have.

The queue focuses on Gift Aid decisions and adjustments, and regular giving waiting for mandate activation. Failed-payment alerts are displayed separately when there are new failures requiring attention.

Nothing to review? No action is required. A pending payment awaiting bank processing is not automatically a problem.

FundraisingCustomise your charity donation page4 min
Donation-page editor example: choose a section, make your changes, then save.
Illustrative example — not a live screenshot. Donation-page editor example: choose a section, make your changes, then save. Example names and amounts are fictional.
  1. From your dashboard choose Donation page or Edit donation page.
  2. Start with the Simple editor. Work through Brand, Story, Giving, Checkout and Thank-you.
  3. Change the charity presentation, suggested amounts, messages and available design options.
  4. Check the preview before saving. Use advanced design options only when you need them.
  5. Choose Save draft to keep unpublished work private, or Publish changes to update the public page. Each changed publication automatically saves the previous published design in Page version history.
  6. Use Load as draft to preview an old published design without affecting visitors, or Restore published to roll back with confirmation. The current published design is preserved as another version first.
Accessibility tip: keep text legible against the background and check the page on a phone. The editor includes colour-contrast guidance for key controls.

FundraisingCreate a campaign and track progress3 min
  1. Open Campaigns in the dashboard.
  2. Create a new campaign with a title and target amount. Add an impact statement, description and optional image.
  3. Choose optional start/end dates if the appeal is time-limited.
  4. Save the campaign and use its Manage controls to make changes or publish updates.
  5. Open its campaign-specific donation URL to share it with supporters.

Campaign progress uses recorded confirmed donations, not newly initiated or pending payments. Refunded donations are excluded from the raised total.

Campaign performance: open Campaigns to see how many donations were started, how many were confirmed, and the confirmed amounts by tagged source. Choose Copy tracked campaign link to make separate links for social posts, posters, QR codes, websites or email. Sources are link labels, not independently verified attribution or unique visitor counts.

Open Campaigns ↗

FundraisingDesign posters, QR codes and social graphics4 min
  1. Choose Creative studio from the dashboard.
  2. Select the campaign you want to promote.
  3. Choose Poster & print or Social media.
  4. Pick a layout and size; edit the wording, logo, photography, typography and colours.
  5. Check the preview and print/save the poster as a PDF or download the available asset format.

Poster links and QR codes send donors to a GiveGiftAid-hosted donation page. Preview the destination after choosing a campaign to make sure the right appeal opens.

Print tip: scan a proof copy of the QR code with a phone before distributing posters.

FundraisingAdd live campaign progress to your website5 min
Website widget example: choose a campaign and live progress style, then copy the embed code.
Illustrative example — not a live screenshot. Website widget example: choose a campaign and live progress style, then copy the embed code. Example names and amounts are fictional.
  1. Go to Creative studio → Website widget (under Other campaign tools).
  2. Choose the campaign, set Widget style to Live campaign progress, and enable automatic refresh.
  3. Check the preview. Use Open live widget separately if the embedded preview is blocked.
  4. Choose Copy widget code.
  5. In your own website builder, add a Custom HTML / Embed block and paste the code. Preview the website and publish it when ready.

The widget is a public, read-only display of campaign progress. The donation button opens the secure GiveGiftAid site rather than collecting bank information on the charity's website.

Website requirements: use HTTPS and a builder that allows <iframe> embeds. If your site uses a Content Security Policy, its frame-src must allow https://givegiftaid.uk. Some site builders, social networks and emails prohibit iframes. In those cases, use a donation link or button instead.

Figures typically refresh every 60 seconds while the widget is visible. They reflect confirmed payments, not pending ones. Sandbox figures are for testing.

Donors & payments

Donors & paymentsFind a donor and show hidden history3 min
Donor example: view regular giving, mandates and Gift Aid together, and refresh the selected supporter.
Illustrative example — not a live screenshot. Donor example: view regular giving, mandates and Gift Aid together, and refresh the selected supporter. Example names and amounts are fictional.
  1. Open Donors and search by name, email or postcode.
  2. Select a donor to view their payments, bank-account references, mandates, subscriptions and Gift Aid information.
  3. To declutter the default donor list, inactive donors are hidden unless you select Show inactive donors.
  4. On an individual donor, choose Show inactive history to reveal cancelled/failed mandates, subscriptions or payments.

Review filters may show otherwise inactive donors when they have an actionable item. Nothing is permanently deleted by hiding historical records.

Donors & paymentsRefresh donor data from GoCardless2 min

Each donor has a Last updated indicator showing how recently GiveGiftAid received their GoCardless information and whether it came from a webhook, an automatic sync or a manual refresh.

  1. Open the donor and read the time next to Refresh from GoCardless.
  2. If it was just updated, you normally do not need to refresh. The button is disabled for roughly two minutes after a recent update.
  3. When available, choose Refresh from GoCardless to fetch that donor's latest details.
  4. Remain on the same donor page. You can also use Copy donor link for a direct, sign-in-protected URL.
Important: a payment in a normal pending state is not necessarily late or failed. GoCardless sends updates as its bank collection process progresses.

↑ Back to top Dashboard ↗

Donors & paymentsRequest a new Direct Debit mandate3 min
  1. Open the donor you want to help.
  2. Scroll to the Mandates card and choose Request new mandate.
  3. GiveGiftAid creates a secure, GoCardless-hosted mandate setup link associated with the existing GoCardless customer.
  4. Copy the link and send it to that supporter using an appropriate communication channel.
  5. After the supporter completes the process, wait for the GoCardless status to update or use the donor refresh control when appropriate.

The charity cannot complete the supporter’s bank authorisation for them. Avoid emailing or copying bank details into GiveGiftAid; the supporter enters those details directly with GoCardless.

Donors & paymentsCreate or manage regular giving4 min
Regular-giving example: set the name, amount, frequency and optional first payment date.
Illustrative example — not a live screenshot. Regular-giving example: set the name, amount, frequency and optional first payment date. Example names and amounts are fictional.
  1. Open a donor and find the Regular giving card.
  2. Choose Create new regular giving when available.
  3. Enter the subscription name, amount, frequency and optional first charge date.
  4. If the mandate is active, GiveGiftAid can create the subscription at GoCardless. If an eligible mandate is still activating, the instruction can be stored as Awaiting mandate and activated automatically once the mandate becomes active.
  5. For an existing subscription, use the available Edit, Pause, Resume or Cancel controls as appropriate.
Check timing: the first charge date depends on the mandate and GoCardless processing rules. A queued instruction is not itself an active collection until GoCardless confirms it.

↑ Back to top Dashboard ↗

Donors & paymentsReview failed payments and handle refunds4 min
  1. Use the failed-payment notice on the dashboard (if one appears) or the relevant Donors filter.
  2. Open the affected donor; choose Show inactive history if needed.
  3. Read the failure details and offered actions. Retry is only shown when appropriate for the payment and mandate status.
  4. For an eligible payment, use Refund via GoCardless. When a refund occurred outside GiveGiftAid, use Mark refunded externally to keep records accurate.
  5. For an eligible payment that failed due to insufficient funds, with an active mandate and no Success+ retry already planned, choose Retry payment and select your requested charge date. GoCardless checks that it is permitted by the bank processing timetable and its retry limits.
  6. Pay attention to the confirmation messages before submitting any refund or cancellation.

Reset alert dismisses the old failed-payment backlog for that charity; it does not delete failed payments, change their actual GoCardless status, or refund anything. Future new failures will appear again.

Do not use refund actions as a bookkeeping shortcut. Confirm the intended donor and payment and check GoCardless for final settlement.

Gift Aid

3 guides
Gift AidRequest a Gift Aid declaration from a donor4 min

Gift Aid eligibility depends on the donor’s own declaration and the donation in question. A declaration for one donation does not automatically cover later donations.

  1. Open the donor's Gift Aid section.
  2. When offered, choose Request new Gift Aid declaration.
  3. Send the generated secure declaration link to the supporter.
  4. The supporter reviews the declaration wording, details and relevant scope, and must explicitly accept it.
  5. Once recorded, eligible donations can be reviewed or included under the scope of the new declaration.
Never broaden a donor declaration yourself. A charity cannot simply convert “single donation” to “current and future donations” without fresh donor agreement.

Gift AidReview GoCardless-imported payments for Gift Aid3 min

Payments collected directly in GoCardless aren't added to an HMRC claim automatically. They wait for you to review them.

  1. Open Gift Aid in your dashboard. GoCardless payments to review lists every payment that a supporter's Gift Aid declaration covers.
  2. Tick the payments to claim and choose Include selected, or Exclude selected for ones you shouldn't claim. Select all ticks the whole list.
  3. Payments with no covering declaration are kept out of that list, under Payments requiring a Gift Aid declaration. Open it to see them grouped by supporter.
  4. Choose Request Gift Aid declaration next to a supporter. Copy the secure link, or choose Email supporter to send it from your email. The link is valid for 14 days.
  5. When the supporter makes their declaration, their payments move into the review list automatically, ready for you to include.
Why can't I include them? HMRC only allows Gift Aid where the donor has made a declaration that covers the donation. GiveGiftAid checks this on its server, so an uncovered payment can't be included or exported, even by mistake. A declaration that covers a single donation doesn't cover later payments.

If a payment is refunded, or a claim you've already made needs correcting, follow the Gift Aid adjustment process instead of editing records that were submitted.

Gift AidDownload and track your HMRC Gift Aid claim5 min
Gift Aid example: review imported payments and track HMRC export statuses.
Illustrative example — not a live screenshot. Gift Aid example: review imported payments and track HMRC export statuses. Example names and amounts are fictional.
  1. Open Gift Aid on the dashboard.
  2. Open the Gift Aid claim checker. Review groups of payments awaiting a Gift Aid decision, payments missing a covering declaration or donor details, and required HMRC adjustments before preparing the file.
  3. Review declarations, the payments selected for claiming and any adjustments needing attention.
  4. Create/download the HMRC-compatible .ods spreadsheet from the export controls. Check the donor details, dates and total before submitting it.
  5. When you have actually submitted the file to HMRC, select Mark submitted.
  6. After HMRC responds, mark the claim Paid or Rejected as appropriate.

The status buttons are GiveGiftAid’s record of what happened: marking a file “submitted” does not send it to HMRC for you. A rejected claim can be corrected and resubmitted as appropriate. Export history and adjustments should be retained for the audit trail.

Before using real data: confirm your charity’s eligibility, donor declarations and HMRC requirements. Gift Aid and tax rules may change; use HMRC’s current guidance for legal requirements.

Troubleshooting

TroubleshootingSomething is missing or out of date3 min
  1. Check the donor’s Last updated label before refreshing.
  2. Use the donor-specific GoCardless refresh when enabled. Avoid repeated full-account checks.
  3. Open the correct Donors filter, including Show inactive donors or Show inactive history for historical records.
  4. Check whether the payment is still in a normal bank-processing status.
  5. If a live widget is blank, first choose Open live widget separately, then verify the campaign is active and your external site allows HTTPS iframes.
  6. Try the direct dashboard or donor link again if you were redirected away from the donor after a reload.
Do not create a second payment or subscription just because the display has not updated yet. Confirm its state first to avoid duplicates.

TroubleshootingPrivacy, security and Sandbox basics3 min
  • Sandbox: in a Sandbox workspace, collections, balances and widget totals are test data, not real money. Look for the yellow Sandbox banner. See Live and Sandbox workspaces.
  • Supporter privacy: donor pages require charity login. Do not post donor URLs or copied information publicly.
  • Bank authorisation: supporters authorise payments on hosted GoCardless pages; do not request bank details by email.
  • Refunds: confirm the payment and status carefully before performing irreversible actions.
  • Gift Aid: store declaration evidence and use the correct scope; only the supporter can provide new consent.
  • Embeds: website progress widgets display public campaign totals. Do not embed the dashboard or internal donor pages.

Always check which environment you are using before sharing a donation page outside your testing team.

Your account

Your accountLive and Sandbox workspaces4 min

GiveGiftAid has two completely separate environments. Live uses your charity's real GoCardless account and collects real donations. Sandbox uses a GoCardless Sandbox (test) account: payments behave like real ones, but no money moves. Use Sandbox to try things out and train your team; use Live for real supporters.

Connect a live GoCardless account

  1. Go to givegiftaid.uk and choose Connect your charity.
  2. Choose Live account if asked, then Continue securely with GoCardless. There's no form to fill in.
  3. Sign in to your live GoCardless account (or create one) and approve GiveGiftAid. Your donation page uses the organisation name on your GoCardless account, at an address made from it, for example givegiftaid.uk/riverside-trust. You can change the address later in Account & data.
  4. You return to your dashboard. Check the GoCardless account panel shows Verified and Payments enabled before sharing your page.

Connect a GoCardless Sandbox account

  1. Create a free Sandbox account at manage-sandbox.gocardless.com ↗ if you don't have one.
  2. Go to givegiftaid.uk/sandbox and choose Connect your charity. The form is set to Sandbox (testing).
  3. Continue to GoCardless, sign in to your Sandbox account and approve GiveGiftAid. Your Sandbox page is named after your Sandbox organisation, at givegiftaid.uk/sandbox/your-charity-name.

Open the right dashboard

  1. Choose Charity login on the homepage for the environment you want: givegiftaid.uk for Live, givegiftaid.uk/sandbox for Sandbox. You can also go to the login page and pick Live account or Sandbox (testing).
  2. Sign in on GoCardless with the account that belongs to that workspace.
  3. The yellow banner tells you you're in Sandbox. If you see it and expected Live, log out and sign in with your live account.
Kept apart on purpose. A Live and a Sandbox charity can share a name and page address (for example /test and /sandbox/test) but never share supporters, payments, subscriptions, Gift Aid records or reports. Sandbox pages are labelled and hidden from search engines. Moving to Live? Connect your live account as a new workspace: test data doesn't carry across. Old Sandbox links without /sandbox redirect to the new address while no live charity uses it.

Your accountReconnect GoCardless2 min

If someone removes GiveGiftAid from your GoCardless account, or the connection stops working, donors see a message that your charity can't accept donations right now.

  1. Open your dashboard and choose Reconnect GoCardless in the menu.
  2. Sign in on GoCardless with the same account your workspace uses and approve access.
  3. You return to your dashboard. Check the GoCardless account panel shows Verified · Payments enabled.
Login says no charity was found? You may have signed in to the other account type. Log out and choose Live or Sandbox again.

↑ Back to top Dashboard ↗

Your accountChange your page address or charity name2 min

Your charity name comes from your GoCardless account. Your page address is made from that name, and you can change it.

Change your page address

  1. In your dashboard menu, choose Account & data.
  2. Under Your charity name and page address, type the new address. GiveGiftAid checks it's free as you type and suggests one if it isn't.
  3. Choose Save page address.
Old links keep working. Your previous address forwards supporters to the new one, so printed QR codes, website buttons and existing Direct Debits aren't affected, and no other charity can take your old address.

Your charity changed its name

  1. Update your organisation name on GoCardless first.
  2. In Account & data, choose Update name from GoCardless. If you like, save the matching page address it suggests.

↑ Back to top Account & data ↗

Your accountDownload your data or close your account3 min

You can download everything GiveGiftAid holds for your charity at any time, and close your account if you no longer want to use the service.

  1. In your dashboard menu, choose Account & data.
  2. Select Download my data. You get a zip of spreadsheets: donations, supporters, Gift Aid declarations and Gift Aid claims.
  3. To close your account, tick the two confirmations, type your page address and select Close account permanently.

Closing takes your donation page, campaigns and widgets offline straight away, removes GiveGiftAid's access to your GoCardless account and permanently deletes your data from GiveGiftAid. It can't be undone.

Keep your Gift Aid records. HMRC expects charities to keep Gift Aid declarations and claim records for several years. Download your data before closing. Payments, mandates and subscriptions stay in your GoCardless account; cancel regular giving there if it shouldn't continue.
